Qualified electronic seal — confirm the origin of company documents

I explain whether a seal is the right solution for your process, then guide you through the formal steps, activation and ongoing use.

When it may be the right choice

Documents come from an organisation

A qualified electronic seal is intended for organisations that want to confirm the origin of company documents.

  • you issue or send documents as a company, institution or other entity;
  • you want to make the company origin of a document clear;
  • you create recurring documents in larger numbers;
  • you are unsure whether you need a personal signature or an organisational seal.

Key uses

KSeF and EPREL

KSeF

A qualified seal containing the company’s Polish tax ID (NIP) can be used to authenticate a business in the National e-Invoice System and to work with permissions.

EPREL

A seal is practical for manufacturers and suppliers working with the European product database for energy-labelled products.

Company documents

It helps make the company origin of electronic documents, confirmations and recurring documents more consistent.

Seal and qualified signature

They are not interchangeable in every situation

A qualified electronic signature relates to the person who signs a document. A qualified electronic seal relates to an organisation and helps confirm a document’s company origin.

When a document requires action by a specific person, a signature may be the right option. When the important point is that a document comes from an organisation, a seal is worth considering.

Card or SimplySign

I match the option to the way you work

A seal can work with a cryptographic card or through SimplySign. The choice depends on the way you work, the number of documents, the environment you use and the organisation’s requirements.

Can the process be completed remotely?

In many cases, yes. After a short conversation, I will explain how the process may work and which documents may be needed.

Who prepares the application and documents?
